Volunteers Always Welcome
We are always looking for motivated individuals to play a leading role our community activities or simply to help support them.
What Volunteering Is About
There are many varied volunteer opportunities available for you to make a real difference to the success and future development of our chapter, and the skills you acquire or improve through participation in STC can be transferred directly to the office – and they will make a valuable addition to your resume.
If you’re new to the chapter, don’t feel that you don’t know enough yet to contribute. There’s no better time to get involved! You’ll get to meet and network with other members and you might be surprised at just how much fun you can have in the process!
If you are a more senior member but have become inactive in recent years, please consider serving the chapter again, perhaps in a specialized role as a committee manager or special project leader. Your knowledge and experience could prove invaluable in fostering newer volunteers and building strong teams.
Specific Volunteer Needs
Following are specific needs the Chapter has for active leadership volunteers.
Chapter President
The Chapter President heads the Administrative Council and is responsible for all operations of the chapter. He or she should be enthusiastic, energetic, responsive and good at solving problems and resolving disputes. The preferred candidate has experience in human resources and financial management, has a proven aptitude for public speaking and has served on at least one other Administrative Council position.
The Chapter President chairs regular meetings of the Administrative Council, assigns duties to other officers, suggests schedules for ongoing chapter programs, appoints special assistants or committees for specific tasks, leads the formulation of goals and policies for the chapter, submits activity reports to the Society office, provides advice and support to other Administrative Council members, and mediates when necessary.
Planning for the next Administrative Council year takes place in May/June, when the Chapter President leads the Administrative Council in establishing goals for the upcoming year, and exploring topics for the coming year’s meetings with the Program Manager and other officers.

Vice President (VP Programs)
The VP Programs plans, schedules, and coordinates general chapter meetings, conferences and special events and is a key member of the Administrative Council. The VP Programs also assumes the duties of the President when the President is unavailable. The preferred candidate has served on other Administrative Council positions, has a good understanding of the chapter’s operations and has a proven aptitude for public speaking and is well organized.
General responsibilities include maintaining future speaker and topic lists, contacting potential speakers and securing biographical data, booking meeting rooms, arranging speaker gifts and door prizes and providing details of events to the Newsletter Editor and Webmaster. The Program Manager also reports on the number of attendees and gives contact details of nonmembers to the Membership Manager for follow up. Ideally, he or she heads a committee of four to five members who assist in the coordination, planning and operation of events.

Secretary
The Secretary takes minutes at Administrative Council and other chapter meetings (or arranges for a substitute), prepares and distributes copies of meeting minutes to officers within ten days, and prepares correspondence related to chapter business at the direction of the Chapter President

Treasurer
The Treasurer manages the chapter budget and chapter bank accounts, depositing funds and paying invoices promptly, as necessary. The preferred candidate has bookkeeping experience and knowledge of a bookkeeping application and/or is proficient in Excel. The Treasurer prepares a monthly report of chapter income and expenditures for review by the Chapter President and prepares a year-end report for the STC office.

Public Relations Manager
The Public Relations Manager increases business and public awareness and recognition of our profession, our chapter, and the Society. The preferred candidate has a marketing or public relations background.
The Public Relations Manager establishes liaisons with companies, other communication organizations and maintains a list of press and media contacts. The Public Relations Manager develops promotional material for special events, and publishes information on the Web to publicize STC goals, programs, and services to members, prospective members, and their management.

Education Manager
The Education Manager fosters relationships with universities, colleges and training institutes assists the Programs Manager in publicizing, organizing and coordinating educational events and activities. The preferred candidate possesses excellent organizational skills and has a flexible schedule during the event.

Membership Manager
The Membership Manager organizes and directs an active membership recruiting campaign each year. He or she greets new members at meetings, fields new member questions, maintains member contact information jointly with the STC office, and contacts non-renewing members and potential new members. The Membership Manager works with the rest of the Administrative Council to ensure new members and potential new members feel welcome and have access to the information they need.

Nominating Committee Manager
The Nominating Committee Manager directs a committee of three to five members, who should have a wide circle of acquaintances in the chapter. He or she invites members through the newsletter, chapter Web site, and at chapter meetings, to run for office or to suggest possible candidates. The Nominating Committee Manager assembles the committee, as needed, to evaluate the qualifications of potential candidates and assigns committee members to approach qualified potential candidates to determine their willingness to stand for election.
The Nominating Committee Manager guides the election process from preparing a ballot and holding the election to overseeing the collection and counting of ballots, reporting results to the Administrative Council and the candidates as they are known and giving results to the Newsletter Editor for publication before the installation ceremonies. He or she gives the chapter treasurer the names and addresses of the elected officers for inclusion in the chapter’s financial report to the Society, and may be assigned to identify candidates for local recognition, distinguished chapter service award, or Society-level office.

Newsletter Editor
The Newsletter Editor produces the chapter’s regular newsletter and works with the Chapter President to communicate chapter plans, objectives, goals, and progress. The preferred candidate has some newsletter design and editing experience, as well as a flexible schedule near publication time.
The Newsletter Editor establishes submission deadlines and issue themes, coordinates articles with contributors, edits and formats content, continuously collects information from STC and a variety of other sources, exchanges articles with other chapters and submits news about chapter meetings, conferences, or other items of interest to the Intercom and Tieline editors. Ideally, he or she heads a committee of four to five members who contribute and edit articles.
[Time commitment: Approx. 5 hrs/issue, with eight to nine issues per year]
Webmaster
The Webmaster oversees all Web work. The candidate has a proven background in Web authoring and graphics production. The Webmaster maintains a budget for ISP-related charges, monitors the work of remote authors, updates pages on request and tests all pages.

Volunteer Coordinator
The Volunteer Coordinator arranges volunteer services for the community and the chapter. He or she establishes relationships with local non-profit organizations that require newsletters, posters, brochures, reports, etc., establishes a pool of potential volunteers for Administrative Council activities and non-profit work; and matches jobs to volunteers. The Volunteer Coordinator works with the Membership Manager to approach new members who want to build their portfolios and with the Public Relations Manager, to promote our chapter’s services.

Special Project Committees
The Chapter President may sanction or establish special projects or activities over and above the regular agenda. Usually the Chapter President appoints a special projects committee manager to direct such efforts. Some responsibilities of a special projects committee might include establishing special interest groups, or assessing the potential for creating Local Interest Groups for members who live in areas somewhat remote from the bulk of the membership or search for ways to make meetings more convenient for outlying members.
